What any method has to handle

  • Every category the application asks for, with one category per activity.
  • Rounding each activity up to the next 15 minutes, entry by entry.
  • Client age groups for individual therapy, group and career counseling, and a treatment setting for every intervention and assessment activity.
  • The number of different clients in each intervention and assessment category, without names.
  • Supervision by individual or group and by supervisor credential.
  • Integrated reports as a count, not hours.
  • A split at 30 September of your application year, and doctoral kept apart from terminal master's hours.

Whatever you choose, check first whether your program requires a particular system. Some programs verify hours through one platform, and your director of clinical training is the one who signs off.

No tracker can submit hours for you: you type your totals into the application by hand, whichever you use.

Worked example: the spreadsheet formulas you need

Say each row is one activity with columns for date, category, minutes, age group, setting, client code, supervisor credential and level.

  1. Reported hours per row: round minutes up to the next 15 and divide by 60, so 50 minutes gives 1.00 and 130 gives 2.25.
  2. Totals: sum the reported hours column by category and age group, never the raw minutes.
  3. Cutoff: filter rows dated on or before 30 September of your application year for the reported totals; the rest is anticipated.
  4. Clients: count unique client codes per category, for the number of different clients.
  5. Check: sum the reported hours of eight 50 minute sessions. If you get 6.67 instead of 8.00, your rounding is on the total, not the row.

Common mistakes

  • Rounding the total rather than each activity.
  • Typing client names into a shared spreadsheet. Use a private code.
  • Paying for a subscription before checking whether your program already provides or requires one.
  • Keeping hours in two systems that drift apart. Pick one record and export from it.
  • Leaving the 30 September split to application season.
  • Assuming any tracker can send hours to the application. You enter them yourself.

Log your own hours

The log files each activity in the category it will be reported in, rounds each one up to the quarter hour, and adds up your totals per term and cumulative, privately in your browser.

Frequently asked questions

Do I have to use a paid practicum hours tracker?

No. The tracking guide says it is independent of the platform you use, and a spreadsheet is acceptable if it handles the categories and rounding. Your program may require a particular system, so ask first.

Can this tracker send my hours to the internship application?

No. The application is the only record that counts and you type the totals in by hand. The totals page lays them out in the order the application asks for them.

Can I import hours from another tracker?

Not directly. This log imports only its own backup files, so moving in means entering past totals yourself or starting from a term boundary.

Where does this tracker keep my data?

Only in your browser. Nothing is uploaded and there is no account. Export a backup, optionally locked with a passphrase, or a CSV for your program.
